Terms

When you decide to book tour or other travel arrangements with us, please contact our manager via our email or chat. Once you agree all the details of the tour provided by the travel manager, we will send a written confirmation of the tour by our official email address [email protected]. When you confirm all the details of the written confirmation are as discussed and correct, we will send tour booking contract for your approval. Once the contract is made, we are responsible to provide you with the tour you have booked and you are responsible to pay us for it, in each case subject to the contract.
Please note it is important to check carefully the written confirmation to make sure all the details are exactly as you requested when you receive it  Our responsibility is to provide you the service you have booked as described in the itinerary and as confirmed with you. For parties of two or more people, the person who makes the tour booking by signing our booking contract or otherwise contracting with us, accepts responsibility for making all payments to us on behalf of all members of the party. We will send all documents and other related information to that person who will in turn be responsible for ensuring that the other members of the party are kept fully informed. If you are aged under 18 /on the date of departure/ and your parents of guardians are not travelling with you, they must write to us with their consent.

CHANGES

If you suddenly want to change any of the details of your booking after we send you the tour booking confirmation, we will try our best to help. However, you must please send your written request to make change to our official email address as an email. If  your request is too late for possibility of making change, we will let you know via email. If you wish to make any changes whole on tour such as upgrading your accommodation and staying alone in a ger in the tourist camp, all requests are subject to availability and please note any extra fees must be paid.

SPECIAL REQUESTS

If you have any special request that does not form part of the tour as described in the itinerary /for example, dietary requirements or room location/ please let us know in advance. We will always try our best to meet such requests, but cannot guarantee to do so. In no circumstances will such requests, be accepted by us to form part of our contractual obligations and we will not have a liability if they are not met.

Payment of the price of your tour is due:
If you decide to book your tour program, we require you to pay 50 percent in a week after signing the contract or more than 4 months prior to departure. The balance can be paid on your arrival. Payment can be made by bank wire transfer. Bank details will be given to you in advance with our invoice.
Once you confirm your booking, the price of your tour is guaranteed and will not be subject to any surcharge.

You would rather not to think about all of the things that might go wrong on your tours, but it is always better to have insurance. 

Travel insurance for Mongolia is not just advised, it’s essential. There are types of coverages available: medical, trip cancellation, baggage los and etc

Travel insurance is critical for people visiting Mongolia due to its remote landscapes and limited medical facilities, ensuring access to adequate health care and emergency evacuations.

Different types of travel insurance coverage are available for Mongolia, including travel medical insurance, trip cancellation insurance, and baggage loss coverage, each for specific risks associated with Mongolian travel.

 

If you need to cancel the tour booked, a written notification needs to be sent to our email address [email protected] in advance.

When the cancellation letter is received by us prior to departure charges as per person:

  • More than 8 weeks – 20% of the tour deposit
  • Less than 8 weeks – 50% of the tour deposit
  • Less than 7 days – 100% of the tour deposit

We always try our best to make the tours comfortable and unforgettable for our clients. However, if you have a complaint while you are on tour, you must tell immediately your tour leader and guide, who can resolve them on the spot. They will complete a report form with you giving details of your complaint and the action taken to resolve it and you should keep a copy of this. After your tour, if you will feel a complaint remains unresolved, you must tell Best Tours Mongolia about it in writing within 30 days. Complaints regarding any services not directly connected with Best Tours Mongolia, should be raised with the relevant supplier.
